Reserve Collection Instructions for Faculty

Placing Material on Reserve

Material to be placed on reserve should be brought to the circulation desk between 8:00 a.m. and 5:00 p.m. weekdays. A completed Reserve Material Request Form must accompany the material. Requested material will be processed in order of receipt and placed on reserve as quickly as possible (24-48 hours). However, it is the responsibility of the requesting faculty member to give the circulation staff sufficient time to process material before class assignments are made.

Please also submit a course reading schedule with dates for all material so we know which readings should receive priority. Each item on reserve must have a specific loan period . In the event that a particular item is requested by two or more faculty, the shorter requested loan period will be used.

Processing of Reserve Material

1. Photocopied material

It is the responsibility of the requesting faculty member to provide all photocopies to be placed on reserve. Suggestions for acceptable copies:

2. Electronic Reserve

Faculty may elect to have photocopied material made available on electronic reserve (e-reserve). Material on e-reserve is available 24 hours a day; is never overdue lost or damaged; and may be accessed by two or more students at once. In addition, web site addresses (URL's) may be added as course related resources.

Locally generated items (e.g. tests, study guides, syllabi, outlines, etc.) may be submitted electronically to the library by using an online Reserve Material Request Form. For best results in converting your material to PDF files:

Periodical articles or book chapters should be submitted by full citation only. The circulation staff will use the original text to begin the e-reserve process or to create a link to a full-text electronic-journal. Remember, a full-length book, whether library-owned or personal copy, must be placed on traditional "shelf" reserve. An entire book may not be placed on e-reserve.

All e-reserve files will be password protected to ensure compliance with the fair use guidelines of the U.S. Copyright Law. It is the responsibility of faculty to assure compliance with the U.S. Copyright Law and to obtain permission from the copyright holder whenever necessary. You will be given a password to disseminate to your currently enrolled students. A copyright protection warning will appear on the students' log-in web page.

Recalls

Since reserve needs take precedence over individual or research needs, the circulation department will recall books from individual patrons for reserve use regardless of the length of time held.

Removing Material from Reserve

Two weeks prior to the end of each semester, faculty will be sent a printout of reserve holdings and asked to indicate whether to retain or remove the titles. Material not renewed for the following semester will be automatically removed.

You may have items removed from your reserve shelf at any time by stopping by the circulation desk, e-mailing requests to circulation@murraystate.edu, or calling in requests (-4990) to have material returned through intercampus mail. Material may also be released temporarily from reserve for a specific need at the request of the faculty member(s) who placed the material on reserve.

The library retains the right to refuse to place on reserve any material judged to exceed reasonable limits of fair use in nature, scope or extent. Reference books and entire issues of periodicals will not be accepted for reserve. In addition, the library will stay in compliance with MSU's web publishing guidelines, and may refuse to create links to URLs whose content is outside of these guidelines.
