Reserving a Library Space or Display Area

Information regarding how to reserve a classroom, event space, or display area in Waterfield Library.

Purpose

Waterfield Library has cabinets, shelves, and wall spaces that are reservable for the display of artwork or informational materials. Priority for library displays is given to library activities, followed by Murray State University colleges and departments, then other campus affiliated groups. Groups not affiliated with Murray State must receive special permission from the Dean’s office. Commercial entities may not use library displays.

Policies for Reserving a Display Area

Waterfield Library display areas may be reserved subject to the following conditions:

1.    All materials for display must be approved by Library staff. Exhibitors must provide detailed information about the display at the time of the request.
2.    The Library reserves the right to reject any or all parts of a display. The Library also reserves the right to move/adjust materials if necessary.
3.    All items exhibited are done so at the owner’s risk. The Library assumes no responsibility for the preservation, protection, or possible damage or theft of materials displayed.
4.    Display areas are available for 1 week for wall displays and 4 weeks for cabinet and shelf displays. Exhibitors wanting an extension must request and receive permission from the Library Marketing & Outreach Committee.
5.    Scheduling is first-come, first-served and may not be requested more than 3 months in advance. Exhibitors are limited to 1 display per semester.
6.    Exhibitors shall provide their own tools/materials and are responsible for any damage incurred to library property during the display installation/deinstallation.
7.    Exhibitors must remove their displays within 1 week of the end date or library staff will remove the items from the display area and store them until they are picked up. Materials will be disposed of if they are not retrieved within 30 days of the display end date.
