Reserving a Library Space or Display Area

Information regarding how to reserve a classroom, event space, or display area in Waterfield Library.

Purpose

Certain areas of Waterfield may be reserved for the purposes of group meetings or events. Priority for library spaces is given to library activities, followed by Murray State University colleges and departments, then other campus affiliated groups. Groups not affiliated with Murray State must receive special permission from the Dean’s office. Commercial entities may not use library spaces or displays.

Policies for Reserving an Event Space

Waterfield Library spaces may be reserved for events subject to the following conditions:

  1. Spaces must be reserved at least 1 week before the scheduled event. Reservations are only guaranteed after requester receives an email confirmation from the University Libraries Dean's Office.
  2. Scheduling is first-come, first-served and may not be requested more than 3 months in advance. *Waterfield Library reserves the right to deny a request/move event to another space if necessary.*
  3. If you need to make changes to your original request, contact the Dean's Office at least 1 week prior to your event. There is no guarantee that last minute changes will be accommodated.
  4. Library spaces are available for use during normal business hours only.
  5. The user is responsible for leaving the space clean and in good condition. All items must be returned to their original arrangement. All trash/food must be disposed of in appropriate containers. Do not leave food on the tables. Any damage to furniture, walls or equipment is the responsibility of the user.
  6. The Library does not set up technology or furniture. Users are responsible for setting up their own equipment.
  7. The Library assumes no responsibility for the preservation, protection, or possible damage or theft of materials brought in by the user.

Spaces available for reservation:

  • Gallery (Seats approximately 35)
  • Reference Room (Seats approximately 85)
  • Porch/Breezeway (Seats approximately 96. NOTE: Must be approved by the Provost's Office).
